Position Title: Executive Assistant
Job Description:
The Executive Assistant (EA) is an Administrative Faculty position that reports to the Vice President of Research and Technology Transfer (RTT). The position provides administrative support for the Office of Research and Technology Transfer and is integral to the success of the office. The position will work a minimum of 15 hours/week but could become full time. Hours are flexible but afternoons Monday - Friday are preferred. 
Responsibilities:
  • This EA is responsible for ensuring the administrative functions for the office are highly effective, efficient, professional, welcoming, and results driven. The EA plans and organizes activities associated with a variety of complex and dynamic initiatives of the RTT office. The EA will handle confidential and time sensitive materials and tlmely and appropriate responses to issues presented to the RTT office.
  • Schedules large and small meetings of internal and external constituents and is responsible for travel arrangements, parking information, agendas, A/V needs, and any meals associated with those meetings. 
  • Conducts surveys, data analysis and interpretation for the office, identifying and developing innovative solutions for efficiencies, and managing effective changes in a large organizational setting. This requires working with other offices to obtain access to the data and/or learning new software applications to get the necessary information.
  • Manages budgets for the office, including operating funds, development funds, equipment funds, and auxiliary funds and will develop spending reports on a monthly basis and forecasting reports on a quarterly basis.
  • Supports various faculty committees on campus and is responsible for taking notes and distributing them to the chair of the committee and the committee. 
  • Manages the summer Research for Undergraduate Experience program. This entails tracking students coming to campus and setting them set up with various authentications for their time here.
  • Makes travel arrangements, maintains calendars, schedules appointments, and arranges meetings and conferences for all offices outlined above.
  • Manages the RTT website, ensuring content is current and independently making necessary changes.
 
Minimum Qualifications:
  • Bachelor's degree in business operations or communication is desired, but must possess significant administrative experience
  • Ability to work as a team member including the ability to take initiative and make decisions 
  • Ability to work comfortably and professionally with a variety of personality types under sometimes stressful conditions
  • Ability to organize an office with multiple schedules under dynamic conditions
  • Computer skills including internet searches, Microsoft Office, Financial Systems (Banner)
  • Strong communication skills including the ability to write and speak effectively
  • Evidence of successful work in situations without direct or close supervision
  • Must possess a record of using  discretion for working with highly confidential information

Department Description: The Office of the Vice President for Research and Technology Transfer has overall responsibility for facilitating the research enterprise and works to encourage and support the development, marketing and application of Mines’ intellectual property and our world-renowned researchers, students and facilities.
