Position Title: Director of Campus Events
Job Description: The Director of Campus Events is one of 12 directors within Campus Life and Student Success (CLASS) in the Division of Student Life. The position provides leadership for campus events within the Ben Parker Student Center, the Cecil H. and Ida Green Center, outdoor campus venues, and summer conferences in the residence and dining halls, as well as a campus-wide coordination role for other campus events. Additionally the Director serves as the primary manager of the Student Center events area, with oversight responsibility for ballrooms, meeting rooms and public areas. The Director ensures outstanding guest experiences for events in these areas as well as daily excellence for students and guests within the Student Center. The position supervises two full-time professional employees, the Assistant Director of Conference Services and the Green Center Facility and Events Manager, and indirectly supervises the AV Engineer and up to 24 student employees.
Responsibilities:

Supervision

  • Hire, train, supervise and evaluate the Assistant Director and Green Center Manager; prioritize and coordinate the work of the AV Engineer
  • Establish and maintain staffing and organizational structure to effectively accomplish program functions
  • Create staff development plan, facilitate team development and provide professional development opportunities
  • Assist with hiring, training, supervision and evaluation of student employees

Administration

  • Establish and implement short- and long-range department goals, objectives, policies, and operating procedures; monitor and evaluate program effectiveness
  • Ensure event portfolio supports department objectives and university priorities
  • Maintain budget authority and oversight for Green Center Events and Conference Services
  • Manage quarterly, annual, and monthly budget forecasting, accounting and reporting processes
  • Review, revise, align and enforce campus policies and procedures related to campus events and facility use
  • Manage compliance and risk management issues in campus events, especially with respect to campus policies related to alcohol and minors on campus
  • Chair the Mines Event Advisory Committee

Client Relations and Marketing

  • Coordinate marketing, publications and client relationships within Student Center, summer conferences and Green Center events
  • Oversee maintenance of campus events website, social media and third-party web advertising
  • Oversee and manage conference/event contract negotiations and utilize contract management software to approve contracts

Operations

  • Work with Assistant Director to run the summer conference season, including interfacing with clients, managing operations, billing and student staff supervision
  • Manage relationships and negotiations with vendors including linen service and equipment rental
  • Coordinate the upgrade, implementation and effective use of event scheduling and conference management software
  • Provide on-call response for campus events and facilities
Minimum Qualifications:
  • Bachelor's degree from an accredited four-year institution of higher education
  • Moderate amounts of progressively responsible professional experience in a hotel, resort, association or university setting with responsibilities in the area of conference/event coordination or student union management
  • Demonstrated management experience in the development and training of staff (professional staff preferred)
  • Excellent communication and interpersonal skills
  • Ability to work collaboratively with students, faculty and staff
  • Outstanding administrative, planning and supervisory skills
Preferred Qualifications: Master's degree in business, tourism, higher education administration or related field

The Campus Events team manages events in the Student Center, Green Center, outdoor venues, as well as plans and coordinates summer conferences. Departmental annual auxiliary revenue exceeds $1 million per year, which subsidizes internal, non-revenue academic and administrative events for the Mines campus community.
