Position Title: Registrar
Job Purpose:

The Registrar is responsible for the leadership and management of all administrative, operational, and technical functions of the Office of the Registrar. The Registrar provides institutional-level leadership in implementing and maintaining academic standards, policies, and procedures. Provides organization-wide leadership in all matters related to the student information system and any other related technology. The Registrar supports the university’s quality improvement efforts by focusing on improving the performance of owned processes that have direct or indirect impact on related departmental and/or institutional results. Develops and supports a culture of stellar customer service to all University constituents. The Registrar must create and maintain collaborative working relationships with institutional leadership, faculty, and staff. Interprets, develops, and recommends changes to academic policies as needed. Ensures that the department follows all federal, state, and institutional regulations and policies as they relate to enrollment and records. This position reports to the Associate Provost of Enrollment Management within Academic Affairs.  


Given these broad areas of institutional  responsibility, the Registrar may be summarized as follows:

Organizational leadership: Develop an innovative and collaborative vision for the Registrar's Office. Position the office to respond agilely to the University's needs. Liaise and collaborate successfully with key administrative offices and partner with the academic leadership team to support effective functioning of the University. The Registrar works closely with the University academic and administrative units, including Associate Provost, Vice Provosts, Academic Faculty, and Department Chairs/Directors.  

Functional Leadership: The Registrar oversees all operations in records management, registration, degree audit, transfer credit evaluation, enrollment verification, course scheduling, posting and integrity of transcript data. Responsible for the graduation audit review process and conferral of degrees, certifications, and graduation honors. Oversees the process and post degree completions to official transcripts. Oversee creation of the university academic calendar, registration, and final exam schedules. 

The Registrar will assist in the maintenance and development technical solutions to streamline the records database registration and data posting processes. Assume responsibility for all Registrar-related activities in Banner and ensure the integrity of data disseminated by the Registrar's Office. 

Ensure compliance with all applicable federal and state laws and regulations including FERPA and maintain compliance with policies of American Association of Registrars and Admissions Officers (AACRAO). 

Team Leadership: Plan, direct, and coordinate department work plan; meet with staff to identify and resolve problems; assign projects and programmatic areas of responsibility; review and evaluate work methods and procedures.  

Select, train, motivate, coach, mentor, and evaluate Registrar staff; provide or coordinate staff development; collaborate with employees to develop skills and abilities. Provide ongoing feedback and formal evaluation to staff.  

Administrative Leadership: Maintain effective working relationships with the academic and administrative offices. Manage and participate in the development and administration of Registrar’s budget. Prepare accurate, clear and concise administrative reports. 

What you need:
  • Bachelor’s degree and significant prior experience working as a Registrar.  
  • Demonstrated skill in and commitment to examining and re-engineering operations, processes, and procedures to better meet the needs of the institution, departments, faculty, staff, and students  
  • Demonstrated ability to be solution-oriented, creative and innovative  
  • Demonstrated project management skills, from concept, analysis, implementation and testing through full production 
  • Demonstrated experience working as part of a collaborative team to accomplished shared goals and a willingness to engage with all of campus as partners. 
  • Demonstrated ability to engage and lead a team by providing a vision and actionable strategies that allows individuals to optimally perform individual responsibilities, professionally develop, and achieve team goals 
  • Demonstrated ability to advise and influence leaders and effectively contribute subject matter expertise that facilitates informed decision-making 
  • Ability to provide technical leadership for the University’s System of Record, Banner; participate in the evaluation of a variety of 3rd party software packages that connect to and/or integrate with Banner.
  • Strong personal and professional commitment to building and maintaining a diverse and inclusive workforce and a demonstrated ability to work effectively with individuals with diverse backgrounds and perspectives
  • Advanced knowledge of relevant federal and state regulations, including FERPA and NAIA/NCAA regulations.
What we would like you to have:
  • Master’s degree desired. 
  • Experience with electronic transcripts, badging, comprehensive learner records, and/or competency-based transcripts highly desired.
