The Opportunity

The Office of Admissions welcomes applications for the Admissions Application Coordinator - Systems. This is a full-time, 12-month, administrative faculty professional exempt position at Colorado School of Mines. The position reports to the Associate Director of Admissions - Systems and is a member of the Enrollment Management Division.

The Admissions Application Coordinator is responsible for oversight and maintenance of the systems used to process all incoming admissions applications. This position manages the daily processing of admissions applications for both undergraduate and graduate admissions.  The position collaborates with ITS and the Associate Director of Admissions- Systems to ensure efficient business processing and accurate and timely reporting.

Responsibilities

Admissions Application Processing: (50% -essential function)

  • Responsible for daily processing and loading of application data, electronically and manually, into Banner and Slate; undergraduate and graduate. Ensure timeliness, effectiveness and routine evaluation of process to ensure all application files are prepared accurately for evaluation, decision­ processing, and meeting reporting requirements.
  • Accurately creates and manages undergraduate admissions records in both systems.  Ensure the completeness and 100% accuracy of both databases thru ongoing data cleanup processes and by following best practices in data management as outlined by supervisor. Manage processes that determine if information is correct and make timely corrections to any errors found.
  • Independently troubleshoot suspended records (errors) in the data transfer process between Slate (Admissions CRM System) to Banner (Mines Student Information System)
  • Works closely with the Associate Director of Admissions to troubleshoot and find solutions to common suspended records to further streamline the application loading process.

Admissions Application File Format Management and Updates: (15% -essential function)

  • This position will work with the vendor for the data transfer software used to load application data from Slate to Banner to make adjustments to the file formats as needed throughout the year.
  • Annually, as a part of the cycle prep process, this position will engage the vendor to make updates to the undergraduate and graduate application file formats to address any changes being made to the admissions application.
  • These tasks require an in depth understanding of the file formats and a basic knowledge of coding to help guide the vendor through the update process.

Non-Degree and Exchange Application Management and Enhancement: (15% -essential function)

  • Daily processing of non-degree and exchange student applications; undergraduate and graduate. Coordinate with staff in the Office of the Registrar, International Student and Scholar Services and Associate Director of Admissions – Undergraduate Recruitment to support interested students through the application and enrollment process.
  • Contact and follow up with students who are missing required prerequisite materials needed for processing.
  • Lead the evaluation of the current application processes for non-degree and exchange students. Work closely with the Associate Director of Admissions – Systems on implementing suggested enhancements to the processes.

Other Responsibilities: (10% -essential function)

  • The Admissions Application Coordinator - Systems will support other Admissions programs as needed. This support includes application file evaluation, participating in on-campus visitation programs, serving on various internal and external committees, and other special projects and duties as assigned. During some periods in the Admissions cycle, frequent weekend and evening work will be required. Also, this position may travel up to two weeks per year.
Minimum Qualifications
  • 1-3 years relevant experience
  • This position requires a bachelor's degree.
  • Experience in college admissions or college student services processing and operations.
  • 1 year of demonstrated experience working in either a student information system (preferably Banner) or admissions CRM (preferably Slate).
  • A record of effective collaboration with other campus offices and demonstrated ability to make decisions independently.
  • Strong process management, resourcefulness, use of good judgement, and the ability to work well under pressure and meet deadlines are important.
  • Successful facilitation of projects as a member of a core team is a must. The Admissions Application Coordinator - Systems must have the ability to balance multiple priorities, responsibilities, and programs simultaneously.
  • Strong speaking, writing, and interpersonal communication skills are a must. Position interacts routinely with prospective students and families. This position must prepare regular written reports and may make oral presentations on behalf of Admissions to internal, as well as external audiences.
Preferred Qualifications
  • 2+ years of progressive experience in college admissions or college student services processing and operations.
  • 2+ years of significant demonstrated experience managing a student information system; preferably Banner.
  • Strong understanding of relational databases and data best practices
  • Working knowledge of SQL, CSS and HTML

Pay Range

$50,000 - $55,000

Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
